1. Information we collect
When you use the pre-qualification form on this site we collect: your full name, phone number, email address, age, zip code, study of interest, preferred call time, and any free-text notes you provide. When you call our enrollment line we may take handwritten notes of similar information. We do not collect Protected Health Information (PHI) through this website unless you voluntarily include it in the notes field.
2. How we use your information
We use the information you submit only to contact you about clinical research opportunities at Optimal Research Sites, to verify basic eligibility for an open study, and to schedule a free screening visit if you wish to proceed. We do not use your information for marketing unrelated services, and we do not sell, rent, or trade your data.
3. HIPAA-aligned safeguards
Optimal Research Sites operates as a clinical research site under federal Good Clinical Practice (GCP) standards and complies with applicable provisions of HIPAA when handling Protected Health Information once you enter screening or enrollment. The pre-qualification form is operated under reasonable administrative, physical, and technical safeguards including TLS-encrypted transport, restricted internal access, and a documented retention schedule.
If you are participating in a study, additional consent documents and HIPAA Authorization forms describe specific data uses and disclosures relevant to that study.
4. Sharing with sponsors and IRBs
De-identified screening information may be shared with the study sponsor or its representatives in aggregated form for recruitment reporting. Identifiable health information is shared only after you sign a study-specific HIPAA Authorization form, and only with the entities listed in that authorization (typically the study sponsor, contract research organization, and Institutional Review Board).
5. Cookies and analytics
This website uses Vercel Analytics to count anonymous visits and basic page metrics. Vercel Analytics does not use third-party cookies, does not track you across other sites, and does not collect personally identifying information. We do not run advertising trackers on this site.
6. Data retention
Pre-qualification submissions are retained for up to 24 months and then permanently deleted, unless you progress into screening or enrollment, in which case study-specific retention rules apply (typically 15 years per FDA recordkeeping requirements).
7. Your rights

8. Children
This website is not directed to children under 13. Pediatric study enrollment is conducted only through a parent or legal guardian, in person, with full informed consent.
